Evidence Based Psychological Care, Inc. ("EBPC," "we," "our," or "us") operates the website at ebpcare.com. This Privacy Policy explains what information we collect from visitors to this website, how we use it, and the choices you have. It applies to the website only.
If you are a current or former patient of the practice, the information we hold about your care is governed by our Notice of Privacy Practices, which describes how we may use and disclose protected health information under the Health Insurance Portability and Accountability Act (HIPAA) and California law. That notice is available at our office and on request, and it controls in any case where the two documents appear to differ regarding health information created in the course of treatment.
Important: This website is not a secure channel for health information, and it is not monitored around the clock. Please do not send clinical details, diagnoses, or anything you consider confidential through the website contact form or by ordinary email. If you are experiencing a mental health emergency, call 911 or go to your nearest emergency room. You may also call or text 988 to reach the Suicide and Crisis Lifeline.
Information you give us
When you complete our contact form, request a consultation, or email us, we collect the information you choose to provide. That typically includes your name, your email address, your phone number, the name and age of the child or teen you are asking about, and whatever you write in the message field. We ask only for what we need to respond to your inquiry and route it to the right clinician. We use this information to answer you, to schedule a complimentary consultation, and to keep a record of the inquiry so we can follow up appropriately.
If you schedule an appointment through our online booking system or complete intake paperwork through our practice management system, that information is collected by those systems rather than by this website, under agreements that require them to safeguard it. Once you become a patient, your information is governed by our Notice of Privacy Practices.
Information collected automatically
Like nearly all websites, ours collects certain technical information automatically when you visit. This includes your IP address, your browser type and settings, your device type, the pages you view, the site or search that referred you, and the dates and times of your visits. This information is collected through cookies and similar technologies.
We use the following services on our public marketing pages.
Squarespace hosts this website and generates server logs and basic traffic analytics as part of hosting.
Google Analytics helps us understand how visitors find and move through the site, so we can improve it. Google processes this information under its own terms and privacy policy.
Google Ads conversion tracking tells us whether visitors who arrive through our advertising go on to contact us. We use this to evaluate whether our advertising is working.
We do not place these tracking technologies on our online booking system, our client portal, or our secure intake forms. We do not use advertising tools to target individuals based on health conditions, and we do not build advertising audiences from anything you tell us about your child or yourself.
Cookies and your choices
Our site uses cookies for basic functionality and, where you consent, for analytics and advertising measurement. You may accept or decline non-essential cookies through the banner that appears when you first visit. You may also block or delete cookies through your browser settings, and you may install a browser plug-in that opts you out of Google Analytics. How we share information
We do not sell your personal information, and we do not trade it.
We share information with service providers who help us operate, including our website host, our email provider, our scheduling and practice management systems, and our analytics and advertising providers. These providers may use the information only to perform services for us. Where a provider handles protected health information on our behalf, we require a business associate agreement as HIPAA provides.
We may also disclose information when the law requires it, when we must respond to lawful process, when disclosure is necessary to protect the safety of a person, or in connection with a sale or reorganization of the practice, in which case the receiving party would be bound by this policy.
How long we keep information
We keep website inquiries for as long as we need them to respond and to maintain a reasonable business record, and we then delete them. Clinical records are retained under the separate schedule described in our Notice of Privacy Practices and under California law governing psychological records. Analytics data is retained according to the settings of the analytics service, which currently limit retention to a defined period rather than holding data indefinitely.
How we protect information
We use administrative, physical, and technical safeguards appropriate to the information we hold. These include limiting staff access to what each role requires, using encrypted and password-protected systems for clinical information, training our workforce on privacy obligations, requiring confidentiality commitments from contractors, and securely disposing of records we no longer need. No method of transmission over the internet is completely secure, which is why we ask you not to send sensitive details through the contact form.
If a breach of unsecured personal or health information occurs, we will notify affected individuals and the appropriate authorities as federal and California law require.
Your choices and rights
You may ask us what information we hold about you, ask us to correct it, ask us to delete it, and ask us to stop sending you communications. You may also ask how we have shared it. We will not treat you differently for exercising these rights.
Requests relating to clinical records follow the process described in our Notice of Privacy Practices, since health records carry their own access and amendment rules under HIPAA and California law.
Children and teens
Our services are for children, adolescents, and young adults, and our website is written for parents and guardians rather than for children. We do not knowingly collect information directly from a child under 13 through this website. When a parent or guardian contacts us about a child, we collect the information the adult chooses to share. If you believe a child has submitted information to us through the site, contact us and we will delete it.
A California resident under 18 who has posted content on our site may request its removal by contacting us.
Links to other sites
Our Resource Hub and our service pages link to outside organizations, research articles, and professional resources. We provide these for education. We do not control those sites and we are not responsible for their privacy practices, so please review their policies before sharing information with them.
Changes to this policy
We may update this policy as our website, our services, or the law changes. We will post the revised version here with a new effective date, and material changes will apply to information collected after that date.
